How it works
RealInfoBot answers your phone the way a good assistant would. It knows your listings, it books showings into your calendar, and it knows when to get you on the line.
Setting it up is mostly telling it things you already know.
Setting it up
1. Tell it about your listings
Add your name or your team's, your service area and the facts for each listing: address, price, bedrooms and bathrooms, size, features, open house times, possession date. If you have a website, give it the address and RealInfoBot will read your pages for you. You can also upload documents, like a feature sheet.
It answers from what you give it, and only that. If a caller asks about something you haven't covered, it tells them it doesn't know and offers to take a message. It doesn't offer opinions on price, offers or the market.
2. Call it yourself
Before buyers call, make a test call from your browser. Ask about a listing. Try to book a showing. Ask the question you hear at every open house: "Why are they selling?" If an answer is off, fix it in the dashboard and call again.
3. Connect your calendar
Connect Google Calendar and set your booking rules: what can be booked (showings, listing appointments, buyer consultations), how long each one takes, and when you're available. If you'd rather approve every showing yourself, it can take requests instead and you confirm them.
4. Get a number for your signs
Pick a plan and choose how calls reach RealInfoBot:
- Get a new number. Local or toll-free. Good for your yard signs, a feature sheet or a single listing campaign.
- Forward your existing number. Keep the number your clients already know and forward it to RealInfoBot, all the time or only in certain cases.
5. Choose when it answers
- Every call. It's your front desk.
- After hours. You take calls during the day, it takes them in the evenings and on weekends.
- When you're busy or don't pick up. Your phone rings first. If the line is busy or nobody answers, the call goes to RealInfoBot. Most phone carriers call this conditional forwarding, and we'll show you how to turn it on.
You set this with your phone carrier, usually with a short code you dial from your phone, and you can change it whenever you want.
What happens on a sign call
Here's a typical call on a Saturday afternoon, while you're showing another home across Calgary.
- The phone rings and RealInfoBot picks up. The caller hears your name or your brokerage's, not ours.
- It says what it is. A short notice tells the caller they're talking to an AI assistant and that the call is recorded and transcribed.
- It listens. The caller is parked outside a house with your sign on the lawn and wants to know the price, how many bedrooms it has and whether it's still available. The caller can interrupt or change their mind halfway through a sentence, like on any normal call.
- It answers from your listing. It gives the price, the bedrooms and the open house time you entered. Asked whether the sellers would take less, it says that's a question for you and offers to pass it on.
- It books. The caller wants to see it. It checks your calendar and offers real times. It doesn't say "you're booked" until the booking has actually gone through.
- Or it does what you've told it to. You've set a rule that anyone who says they're ready to make an offer gets put through, so it transfers the call to you.
- The caller gets a text. A confirmation with the date, time and address, and if they agree, a reminder the day before.
- You get the summary. The call shows up in your inbox with a recording, a transcript and a one-line summary: who called, about which listing, and what they want. Calls you've marked as important can also send you an email or a text alert.
When a caller wants to change a showing
Anyone can call and say "I need to move my showing", so RealInfoBot checks first. It finds the booking, sends a one-time code by text to the phone number on the booking, and only reschedules or cancels once the caller reads the code back. If you'd rather handle changes yourself, it can take a cancellation request instead.
When it can't help
Some calls need you. A seller asking what their home is worth, a buyer asking what to offer, a question about a listing you haven't covered. When that happens, RealInfoBot either puts the caller through or takes a clear message with their name, number and what they need, and alerts you.
It sticks to what you've told it. It won't guess at a price you haven't given it, comment on the market or promise a time that isn't free in your calendar.
After the call
Everything lives in one place:
- Calls, with recordings, transcripts and summaries
- Showings and appointments it booked or changed
- Messages it took
- Contacts, so you can see every buyer and seller who has called before
- Text messages sent to callers
You can invite your team, so your assistant and the agents on your team see the same thing.
